Privacy policy

This policy explains which personal data SwimConsult collects and how we handle it. It applies to this website and to the SwimConsult app; the processing in the app is described separately below. This English translation is provided for convenience; the French version prevails.

What data we collect

Through the order form on this website we collect the data you enter yourself: your name, your club's name and your email address, together with the plan and billing frequency you choose.

Your payment details (such as your card number) are entered directly with our payment partner Stripe; they never pass through our servers. We collect no other personal data through this website.

What we use it for

We use this data to process your order, create your club's account in the SwimConsult app and send you emails about your subscription.

If you do not complete the payment, we may send you a limited number of follow-up emails to help you get started after all. You can unsubscribe from these at any time.

On what legal basis

We process your data to perform the agreement with your club and to take steps at your request prior to entering into it. For follow-up emails after an uncompleted order we rely on our legitimate interest; you can object to this at any time.

Who we share it with

We rely on Stripe (for payment and managing your subscription), Brevo (an email service in the EU, for our emails), Supabase (for your club's account in the app) and Vercel (for hosting the website and cookieless visitor statistics). They process the data solely on our behalf or, in the case of Stripe, as a payment service provider.

We do not sell your data and do not use it for any other purpose.

How long we keep it

If you become a customer, we keep your data for as long as your subscription runs and as long as legal (including accounting) obligations require. If you do not complete the order, we keep your data only for brief follow-up. You can always ask us to delete it.

Cookies and local storage

This website uses no cookies for advertising or visitor tracking. We only store your theme preference (light or dark) locally in your browser; that preference is not shared with us or with third parties.

For visitor statistics we use Vercel Web Analytics: a cookieless service that does not track individual visitors and stores no personal data or IP addresses.

That is why there is no cookie banner.

Your rights

You have the right to access your data, have it corrected or deleted, object to the processing, withdraw your consent and have your data transferred. To do so, send a message to info@swimconsult.be.

If you disagree with how we handle your data, you can file a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (dataprotectionauthority.be).

The SwimConsult app

The SwimConsult app (app.swimconsult.be) helps swimming clubs write, plan and follow up on their training. The club using the app is the controller of its swimmers' data; SwimConsult provides the platform and processes the data on the club's behalf. You can ask questions via your club or at info@swimconsult.be.

In the app we process, for trainers and administrators, their name, email address and an account. For swimmers we process the first name (and surname), and if the club chooses an email address and a personal account, together with the sporting data the trainer enters or the app calculates: swim times, test results and target times. If the swimmer enters it themselves, a score and a feeling after training are added, with an optional short note.

Many swimmers are minors. Data is entered within a club, under its responsibility. For under-age swimmers, the club informs the parents and obtains their consent where required.

We use this data to write and plan training, calculate target times and send-off intervals per swimmer, track progress and create and, on request, send pace cards. We do not use it for advertising and do not sell it.

If a club uses personal swimmer logins, a swimmer can choose their club, group and first name when logging in; the first names of that group are retrievable for this purpose. Logging in is never possible without the personal password.

We rely on Supabase (storage and accounts, in the EU), Brevo (an EU email service, to send a pace card), Vercel (hosting) and, for the club subscription payment, Stripe. The AI helper for drafting training only sends the training request (distances, levels, focus) to the AI service — no swimmer names or personal data.

Data is walled off per club, per group and per swimmer (row-level security): a club sees only its own data, a swimmer only their own. Logging in requires an account with a password.

We keep the data for as long as the account exists. When a swimmer stops, the account is deleted and all associated data disappears. You can always ask us to delete your data — via your club or at info@swimconsult.be.

We may update this policy. The date of the last change is shown at the bottom of this page.
